Do I really need a physical notepad?

Yes, in person. Writing down their exact words and reading it back acts like a third party in the room: the prospect watches the record form, corrects it if it's wrong, and silently agrees when it's right. That small commitment adds up fast.

What if the meeting has to be virtual?

In-person converts highest, virtual with video is a solid backup, and phone is the last resort. Only drop a tier if schedule or efficiency actually requires it. Either way, be fully tech-ready on every platform before the meeting starts.

Isn't "I don't know if I can help you" risky to say out loud?

It's the opposite of risky. It disarms the prospect immediately, because you're not pitching, you're genuinely trying to find out if there's a real problem. Your credibility comes from the quality of your questions, not from a confident pitch.

What if other people get pulled into the deal later?

That's normal and usually a good sign. Finance, technical experts, or a distributor may join later in the process to validate, not to re-litigate the whole deal. Stay competent on the details and keep advancing regardless of who walks in.
